Inside the download

See the actual offline workbook

These screens were captured from the current download with fictional project details. Open the extracted HTML workbook in a desktop browser and fill in its worksheets. The full kit includes four more documents and a fictional worked case.

  1. Edit a worksheet. Add your project details and replace the remaining prompts with facts you have checked.
  2. Export your work. Download readable Markdown, then save a JSON backup if you want to continue editing later. Check that each file reached your device.
  3. Restore when you return. Choose that kit's JSON backup to resume the same editing session. Nothing is autosaved or sent to a cloud account.

Actual first worksheet in edition 2.49.1, with fictional entries. Some prompts remain for the buyer to complete.

The optional Notion pack contains Markdown and CSV import files, not a ready-made workspace. You set up properties and relations in Notion yourself; these screens show the offline workbook and calculator only.

The task

What you'll make

A checked quote floor and distinct, independently costed scope options.

Gather before you start

  • Delivery tasks
  • Admin hours
  • Direct costs and fee schedule

Mark missing information so you can check it before using your work.

When to skip this kit

  • You need a native Excel, Canva, or Word template. This download contains Markdown documents and an offline HTML workbook, plus an HTML calculator, plus Notion import files you configure yourself.
  • You need autosave or cloud sync. Export Markdown or save a backup before closing the offline workbook.
  • You need someone to complete the work. These are worksheets to fill in yourself.

Read the first worksheet below to see whether its questions help with your task.

Included files

What's inside

  1. 01Estimate worksheet
  2. 02Assumption register
  3. 03Three-option proposal
  4. 04Quote review checklist
  5. 05Estimate retrospective

The offline calculator shows its formulas and exports your inputs and results as Markdown. The final document includes a common mistake to check for before using your work.

The worked case contains five completed documents, one for each worksheet. Follow the evidence, decisions, and corrections across the same fictional project. The case is included in the workbook, reading edition, Markdown example, and optional Notion import.

Your completion check

Reconcile each option to its task ledger and saved scenario; resolve material assumptions, address difficult-case exposure, and remove internal notes before sending the client copy.

Before you finish

Check this before you use it

Quoting only production time hides meetings and revisions.

Add coordination and review hours, then recalculate before sending.

Use the final worksheet to record what needs fixing and what you still need to check.

Estimate worksheet

Jump to a section

{{project}} / estimator {{business}} / client {{contact}} / review {{deadline}}

Purpose: produce a traceable cost floor for one defined option. Start a fresh copy for every option or changed scope. A floor is the modeled cost target, not automatically the price you should charge.

1. Define the work before estimating

Version and currency: [ID / currency] Buyer task and intended output: [What must they be able to do?] Deliverables, quantities, and acceptance checks: [List exact outputs] Included feedback rounds and approver: [Number / one feedback owner] Client-supplied inputs and dates: [Content / access / approvals] Excluded work: [Name likely assumptions explicitly]

2. Build the task ledger

Use decimal hours: 15 minutes = 0.25 hours. Count an hour once. Include research, production, included revisions, testing, and handover in delivery; put calls, correspondence, scheduling, and invoicing in admin. Mark estimates separately from recorded evidence.

Production[Each named deliverable][Hours][Hours][Source][Uncertainty]
Included review[Round and feedback owner][Hours][Hours][Source][Uncertainty]
QA and handover[Test and transfer][Hours][Hours][Source][Uncertainty]

Totals: delivery [ ] + admin [ ] = planned hours [ ]

3. Record costs and assumptions

Chosen hourly rate: [amount / currency / compensation and overhead included]

Direct expenseamountsource/datealready covered by rate?refundable?
[Item][Amount][Source][No/yes][Conditions]

Remove duplicates. Record fixed transaction charges here if using the included model; its contingency also applies to these expenses, which may overstate a known fixed charge. Record that modeling choice. Contingency: [percentage / named uncertainties / why this allowance] Payment fee: [percentage / provider schedule checked on date / applicable base] If fees apply to tax, shipping, converted currency, or a different base, this simplified model needs adjustment outside the tool.

4. Compare two scenarios in calculator.html

Base: delivery [ ], admin [ ], rate [ ], expenses [ ], contingency [ ], fee [ ]. Difficult case: change the specific inputs affected by one plausible problem; do not add hours already included in the base. Explain the change: [ ]. Export each scenario. Cost target = ((delivery + admin) × rate + expenses) × (1 + contingency/100). Floor = cost target ÷ (1 - fee/100), rounded upward to a cent.

5. Make the price decision

Base floor [ ]; difficult-case floor [ ]; proposed fee before tax [ ]. Reason for any amount above the floor: [commercial decision]. If the proposed fee is below a plausible difficult-case floor, choose: confirm the assumption / reduce scope / separate discovery / increase fee / accept and record the exposure. Do not conceal this gap with an unexplained contingency percentage. Decision, evidence, owner, next check: [ ].

Ready when: each deliverable has time, every cost appears once, material unknowns have a decision, and the selected proposal option matches the saved scenario.

Your decision

Which tasks have no time allowance yet? My answer: [ ] Source and date: [ ] Still to check: [ ] Next action, owner, and due date: [ ]

This is the complete first worksheet from the current edition. The full kit adds the remaining four documents, a worked scenario, and the offline editing workbook, plus an optional Notion import ZIP with Markdown pages and CSV databases.

Worked example

See the worked-case summary

Fictional example included in edition 2.49.1.

Fictional case: North Studio quotes a five-page brochure site for Fern Coaching. A task ledger totals 30 delivery and 6 admin hours at a chosen USD 60/hour, plus USD 120 expenses. With illustrative 15% contingency and 3% payment fees, the floor is USD 2,703.10. Eight extra delivery hours raise it to USD 3,272.17. The USD 2,750 base option proceeds only after the client confirms responsibility for supplied copy and booking is excluded. The download contains five completed documents showing the estimate, assumptions, independently costed options, send review, and a later time-variance review.

Before you choose

What should I have ready for this kit?

Bring delivery tasks, admin hours, direct costs and fee schedule. Mark anything you still need to check.

How do I know the work is finished?

A checked quote floor and distinct, independently costed scope options. Check your answers against the original records and note anything unresolved before sharing your work.

What is in the Notion import pack?

The download includes an optional NOTION-IMPORT.zip with authored Markdown page templates and sample-filled CSV databases. Import the files in Notion, then set field types and any database relations yourself. Alongside those files, you receive editable Markdown documents and an offline HTML workbook, plus an HTML calculator. Set up the imported pages and tables yourself. These are not native Excel, Canva, or Word templates. Extract the whole ZIP before opening the HTML files. Mobile file managers may not run local scripts; the text files and reading edition remain available.

Will this do the work for me?

The calculator models the inputs you provide. Check units, missing costs, and assumptions before using its results. You are responsible for checking the finished work. Custom implementation and professional review are not included.

What Notion setup requires

These are the field changes described in the included setup guide. Notion may initially import them as text.

  • Number: Delivery hours, Admin hours, Internal hourly rate, Direct costs, Contingency percent, Fee percent, Quoted price, Actual delivery hours, Actual admin hours.
  • Date: Follow-up date, Valid until.
  • Select: Status.

The CSVs do not contain a working quote formula. Use the included offline calculator for arithmetic and check its fee, currency, and tax assumptions.

A new CSV import does not build relations, formulas, or rollups. Add any you need manually. Replace or delete the fictional sample rows before sharing.

Example rows are fictional. The import creates pages and databases; set property types and any relations inside Notion. You configure the tables after import.
