Inside the download

See the actual offline workbook

These screens were captured from the current download with fictional project details. Open the extracted HTML workbook in a desktop browser and fill in its worksheets. The full kit includes four more documents and a fictional worked case.

  1. Edit a worksheet. Add your project details and replace the remaining prompts with facts you have checked.
  2. Export your work. Download readable Markdown, then save a JSON backup if you want to continue editing later. Check that each file reached your device.
  3. Restore when you return. Choose that kit's JSON backup to resume the same editing session. Nothing is autosaved or sent to a cloud account.

The optional Notion pack contains Markdown and CSV import files, not a ready-made workspace. You set up properties and relations in Notion yourself; these screens show the offline workbook and calculator only.

The task

What you'll make

A project review showing hourly return and what to change in the next quote.

Gather before you start

  • Collected project fee
  • Direct expenses
  • Actual time log

Mark missing information so you can check it before using your work.

When to skip this kit

  • You need a native Excel, Canva, or Word template. This download contains Markdown documents and an offline HTML workbook, plus an HTML calculator, plus Notion import files you configure yourself.
  • You need autosave or cloud sync. Export Markdown or save a backup before closing the offline workbook.
  • You need someone to complete the work. These are worksheets to fill in yourself.

Read the first worksheet below to see whether its questions help with your task.

What's inside

  1. 01Time capture guide
  2. 02Project closeout worksheet
  3. 03Variance interview
  4. 04Recovery action plan
  5. 05Next-quote rules

The offline calculator shows its formulas and exports your inputs and results as Markdown. The final document includes a common mistake to check for before using your work.

The worked case contains five completed documents, one for each worksheet. Follow the evidence, decisions, and corrections across the same fictional project. The case is included in the workbook, reading edition, Markdown example, and optional Notion import.

Your completion check

Reconcile the fee and costs without double subtraction, label reconstructed time and its range, separate variance causes, and give each corrective rule an evidence source and future check.

Before you finish

Check this before you use it

Unrecorded admin hours make an overrun look profitable.

Reconstruct coordination time from records and label estimates separately.

Use the final worksheet to record what needs fixing and what you still need to check.

Time capture guide

{{project}} / review owner {{business}} / source period [ ]

Purpose: produce a defensible internal-hours input. Use decimal hours: fifteen minutes is 0.25, not 0.15. Include all contributors represented in the internal cost model.

Date | person | activity/deliverable | decimal hours | source | recorded or reconstructed | original scope/approved addition/unapproved work [Date | name | discovery/production/reviews/QA/handover/admin | hours | record | classification | boundary] Capture active work, calls, messages requiring work, and final corrections. Remove overlapping timers and duplicates. Do not count unattended processing as internal labor unless the chosen model explicitly requires it.

Completeness check Original scope/tasks compared with ledger [ ]; contributors checked [ ]; calendars or missing days reviewed [ ]; external supplier hours excluded where already costed by invoice [ ]. Recorded internal hours [ ]; reconstructed internal hours [ ]; combined review estimate [ ]. Do not label a reconstructed estimate as measured time. Retain its source and plausible range instead of adding decimal precision unsupported by the records.

Uncertain item | available evidence | low hours | working estimate | high hours | resolver/date [Admin or task | calendar/work record | low | chosen | high | owner] Export the central estimate and relevant low/high cases in calculator.html. State which findings remain true across the range and which depend on the chosen estimate.

Output: a total consistent with the category ledger, scope classifications, evidence, and uncertainty. Keep client secrets and personal details out of activity descriptions; references to approved records are enough for this review. Ready when: another reviewer can distinguish what was tracked, what was reconstructed, and what belongs to external rather than internal labor.

Worked example

See the worked-case summary

Fictional example included in edition 2.49.1.

Fictional case: Harbor Studio reviews a USD 3,000 received fee, USD 300 nonlabor costs, and a 45-hour review estimate against 30 quoted hours. The 45 hours comprise 39 recorded hours and 6 reconstructed admin hours. At a chosen USD 50 internal cost/hour, the model shows USD 60/hour return, USD 450 contribution, and 15% margin. A 43–47-hour sensitivity range changes contribution to USD 550–350. Five completed documents show the time evidence, closeout, variance causes, corrective actions, and next-quote rules.

Before you choose

What should I have ready for this kit?

Bring collected project fee, direct expenses, actual time log. Mark anything you still need to check.

How do I know the work is finished?

A project review showing hourly return and what to change in the next quote. Check your answers against the original records and note anything unresolved before sharing your work.

What is in the Notion import pack?

The download includes an optional NOTION-IMPORT.zip with authored Markdown page templates and sample-filled CSV databases. Import the files in Notion, then set field types and any database relations yourself. Alongside those files, you receive editable Markdown documents and an offline HTML workbook, plus an HTML calculator. Set up the imported pages and tables yourself. These are not native Excel, Canva, or Word templates. Extract the whole ZIP before opening the HTML files. Mobile file managers may not run local scripts; the text files and reading edition remain available.

Will this do the work for me?

The calculator models the inputs you provide. Check units, missing costs, and assumptions before using its results. You are responsible for checking the finished work. Custom implementation and professional review are not included.

What Notion setup requires

These are the field changes described in the included setup guide. Notion may initially import them as text.

  • Number: Quoted fee, Planned delivery hours, Planned admin hours, Direct cost plan, Actual delivery hours, Actual admin hours, Direct costs, Unplanned hours.
  • Date: Closeout date, Review date.
  • Select: Status.

The CSVs do not contain a working profit formula. Use the included offline calculator for arithmetic, then verify its inputs and units before using a result.

A new CSV import does not build relations, formulas, or rollups. Add any you need manually. Replace or delete the fictional sample rows before sharing.

Example rows are fictional. The import creates pages and databases; set property types and any relations inside Notion. You configure the tables after import.
