## Send the same request to each candidate
Subject: Quote request for [quantity] [item], reply by [date]
Hello [approved business contact],
Please quote the attached specification for [quantity] units. Confirm unit price, currency, setup or tooling fees, shipping, minimum order quantity, taxes or other excluded charges, quote validity, lead time, and what would change the price or delivery date. Please also confirm whether a representative sample is available, its cost, and how production proofs are approved.
We will compare responses against the same specification. This request is for planning only and is not a purchase order or commitment to buy.
Thank you,
[Business contact]
## Before comparing
[ ] All quotes use the same specification revision and quantity.
[ ] Currency and units are explicit.
[ ] Included and excluded charges are recorded separately.
[ ] Quote validity and lead time come from the quote source.
[ ] Missing information is an open question, not a zero-cost assumption.
